Do you need a sponsorship letter or letter of invitation that could be given to a business requesting sponsorship of your event? A template has been provided to use as a starting point.
This is a template for a sponsorship letter or letter of invitation that could be given to a business for them to consider a donation towards a Chaplaincy Service or sponsorship of an event. I haven’t supplied this through Chaplaincy Matters in the past because:
- A request for sponsorship/ donation should be based on an existing relationship with a business/ individual that know you or gets the purpose of chaplaincy. Donors and supporters give through you to achieve their own aspirations and goals, so you should really have a relationship with people before you ask for funds in this way. Otherwise a letter might just get the flick if you are cold calling – and you have often spent time and money preparing it.
- Therefore your letter should be tailored to that relationship. There isn’t actually a ‘one letter’ fits all – so this template is just to give you a starting point.
Edit this letter according to your relationship with the contact person/ business e.g. if your chaplain runs several programs, you could write more about that and remove some of the other information. Also, get someone else to proof read it before it is distributed.
While a donation is tax deductible and you are not required to give a donor a ‘benefit’ (except your thanks!), sponsorship is not a donation but a business transaction between two parties where each receive a benefit. It is essential that these relationships are managed carefully and benefits are delivered as promised. An agreement should be made in writing so that all parties are clear what the benefits are. Misunderstanding can impact on the professionalism and reputation of the LCC and SU QLD. If an agreement is put in writing SU QLD will need to see and sign the agreement as there might be legal obligations. An LCC is not a legal identity and does not have the authority to sign on SU QLD’s behalf.

Send through a ‘Request for Invoice’ form to SU QLD Donor Services and they will send out an invoice to your Sponsor. Send to donations@suqld.org.au
